1. Who We Are

Easy Green Hosting is a web hosting and related services business operated by a sole trader in the United Kingdom.Business name: Easy Green Hosting
Business address: 71 St Johns Road, London N15 6QJ, United Kingdom
Email: info@easygreenhosting.com
Website: https://www.easygreenhosting.com/We act as a data controller for customer administration, billing, support and our own business operations. When we host personal data on behalf of customers, we generally act as a data processor, while the customer determines the purposes and means of processing.

2. Personal Data We Collect

  • Contact and account details: names, business names, addresses, email addresses, telephone numbers and account identifiers.
  • Service information: orders, subscriptions, domain registrations, support tickets and communications.
  • Billing information: invoices, payment status, transaction references and tax-related information.
  • Limited payment-method information provided by our payment processor. We do not normally receive full payment card credentials.
  • Technical and security information: IP addresses, browser information, login records, access logs, hosting activity and security events, where available.
  • Information voluntarily submitted through contact forms or support requests.
Customer-hosted websites, applications, databases and email may contain additional personal data controlled by the customer.

3. How We Collect Information

We collect information directly when you register, order services, pay invoices or contact us. We also collect information through our website, customer area, server logs and security tools, and receive relevant data from payment providers, registrars and infrastructure suppliers.

4. Purposes and Legal Bases

4.1 Performance of a Contract

We process information to establish and administer customer accounts, provide shared hosting, VPS and related services, register domains, issue invoices, manage renewals and provide technical support.

4.2 Legal Obligations

We process information where necessary to comply with accounting, tax, regulatory and other legal requirements.

4.3 Legitimate Interests

We process information to protect infrastructure, prevent fraud and abuse, investigate incidents, improve operations, maintain records and establish or defend legal claims, where permitted by law.

4.4 Consent

Where legally required, we obtain consent for non-essential cookies, analytics or other optional processing. Consent may be withdrawn.

5. Customer Accounts and WHMCS

We use WHMCS to administer accounts, orders, invoices, subscriptions, renewals and support. Necessary service notifications are not promotional marketing. Access to customer administration data is restricted to authorised persons and service providers where needed.

6. Payment Processing

We use Stripe to process payments. Through Stripe Dynamic Payments, available payment methods may vary by location, currency, device and eligibility, and may change over time.

6.1 Payment Information

Stripe processes the credentials and information needed to authorise, complete and secure transactions. We normally receive limited payment details, transaction identifiers, status information and billing records rather than full payment credentials.

6.2 Recurring Payments

Where recurring payments are authorised, Stripe may process and retain payment tokens, mandates or other authorisations required for future invoices.

6.3 Stripe’s Processing

Stripe may also process transaction, identity, technical and fraud-prevention information in accordance with its own terms. See Stripe’s Privacy Policy.

7. Domain Registration

For domain registration, renewal and transfer, we may disclose required contact and registration details to Internet.bs and relevant registries. Requirements and retention periods may vary by domain extension and registry policy.

8. Analytics

We may use Google Analytics to understand website usage and improve our services, subject to consent where required. Analytics may process device data, online identifiers, approximate location and website interactions. Where enabled, the intended user-level and event-level retention setting is 14 months; this must match the actual property configuration. See Google’s Privacy Policy.

9. Hosting Infrastructure and Customer Content

9.1 Verpex

Verpex provides infrastructure for certain shared hosting services. Easy Green Hosting’s relevant Verpex hosting environment is located in Germany.

9.2 Kualo

Kualo provides infrastructure for certain hosting and related services. Processing locations depend on the specific infrastructure arrangement.

9.3 Hetzner

Hetzner provides infrastructure for VPS and related services. Easy Green Hosting’s relevant Hetzner servers are located in Germany. The production server’s location does not necessarily determine where all support, security, administration or backup processing occurs. For personal data stored in customer-hosted websites, databases, applications or email, the customer is generally the controller and Easy Green Hosting is generally the processor. Applicable data processing terms govern this relationship. Service-specific VPS terms may impose additional responsibilities.

10. Service Providers and Recipients

Where necessary, personal data may be shared with:
  • Verpex, Kualo and Hetzner for applicable hosting infrastructure and technical services.
  • Stripe for payment processing and payment security.
  • Internet.bs and relevant registries for domain services.
  • Google where analytics services are enabled.
  • Providers of administration, communications, security, technical support or professional services, as applicable.
  • Authorities or other recipients where disclosure is required or permitted by law.
We do not sell personal data.

11. International Data Transfers

Easy Green Hosting is established in the United Kingdom. Its relevant Verpex and Hetzner production servers are located in Germany, within the European Economic Area. Kualo’s relevant processing location depends on the service.Other processing, including payment processing, registrar operations and technical support, may involve additional countries. Where a restricted transfer occurs, we use a lawful transfer mechanism where required, such as applicable adequacy arrangements, approved contractual clauses, the UK International Data Transfer Agreement or the UK Addendum to EU Standard Contractual Clauses.

12. Data Retention

We retain personal data only as long as necessary for the relevant purpose, subject to legal obligations and technical arrangements.

12.1 Active Accounts

Customer account and service data is generally retained while the customer relationship remains active.

12.2 Former Accounts

Former customer records may be retained to meet legal obligations, manage disputes and maintain appropriate business records. If WHMCS is configured to delete inactive accounts after 72 months, deletion follows that configuration and applicable exceptions; the live setting should be verified.

12.3 Financial Records

Accounting and invoice records are generally retained for six years, or longer where required by law.

12.4 Support Records

Support communications may be retained during the customer relationship and for a reasonable period afterward, depending on their purpose.

12.5 Technical Logs

Technical, access and security log retention varies according to log type, server configuration, provider policies, rotation schedules and operational needs. We cannot guarantee historical log availability for a fixed period unless separately agreed.

12.6 Analytics

Where Google Analytics is enabled, the intended user-level and event-level retention setting is 14 months, subject to actual configuration.

12.7 Hosted Content and Backups

Hosted content is generally retained for the duration of the service. Following termination, production data may be deleted. Backup copies of terminated services are generally intended to be removed within 30 days, subject to provider backup cycles, technical arrangements and legal obligations. Customers should export their data before termination.

13. Cookies

Our website and customer area may use essential cookies for authentication, security, preferences and payment functionality, as well as optional analytics technologies. Non-essential cookies are subject to consent where required. See our Cookie Policy for details and available controls.

14. Data Security

We implement reasonable technical and organisational safeguards appropriate to the risks, which may include access controls, encrypted connections, security monitoring, software maintenance and backups, depending on the service. No online system is completely risk-free. Customers remain responsible for their own credentials, applications and content except where managed responsibilities are expressly agreed.

15. Your Rights

Depending on applicable law and circumstances, you may have rights to:
  • Access personal data held about you.
  • Correct inaccurate or incomplete information.
  • Request erasure or restriction of processing.
  • Object to certain processing.
  • Request data portability where applicable.
  • Withdraw consent where processing relies on consent.
  • Challenge certain solely automated decisions where applicable.

17. Children’s Data

Our services are intended for persons able to enter into service contracts. We do not intentionally collect children’s data for our own business purposes without an appropriate legal basis. Customers operating websites that process children’s data are responsible for their own compliance obligations.

18. Policy Updates

We may update this policy when our services, providers, legal obligations or processing practices change. The current version will be published on our website and material changes communicated where required.
